a) Letter of Apology and Its Features
A letter of apology is a formal or informal written message expressing regret, remorse, or sorrow for an action, mistake, or failure. It is written to seek forgiveness, clarify misunderstandings, or maintain goodwill with the recipient.
Four Features of a Good Letter of Apology:
Sincere Expression of Regret
- The writer must genuinely express sorrow for the mistake or inconvenience caused.
- Example: "I sincerely apologize for my behavior at the meeting."
Clear Explanation (Without Excuses)
- Briefly explain the reason for the mistake, but avoid making excuses.
- Example: "Due to an unexpected family emergency, I was unable to attend the event."
Assurance of Correction
- The writer should assure the recipient that the mistake will not be repeated.
- Example: "I will ensure that such a delay does not happen again."
Polite and Respectful Tone
- The language should be courteous, humble, and professional (if formal).
- Example: "I hope you can understand my situation and accept my apology."
b) Letter of Apology to a Friend
I am writing to sincerely apologize for not being able to attend your birthday party last Sunday. I was really looking forward to celebrating with you, but unfortunately, I had to attend an urgent family gathering in my village. My grandmother fell ill, and my parents needed me to help with the arrangements.
I feel terrible that I missed the chance to spend time with you on such a special day. Your birthday is always a memorable occasion, and I hate that I couldn’t be there to share the joy with you. Please know that I regret my absence deeply.
I hope you had a wonderful celebration despite my absence. I would love to make it up to you soon—maybe we can plan a small get-together just for us? Let me know a convenient time for you, and I promise I won’t miss it again.
Once again, I am truly sorry for letting you down. Thank you for understanding, and I hope we can catch up soon.
